A booking engine is software that lets customers search for available vehicles, compare prices, enter their details, reserve or pay online, and receive confirmation in one smooth process. It connects the customer with the company’s vehicle inventory, pricing rules, payment gateway and reservation database.
When a customer searches for a car, the booking engine checks which vehicles or vehicle categories are available for the selected dates and location. It also considers existing bookings, minimum rental periods, one-way rental rules and location-based availability.
Once the booking engine confirms availability, it calculates the price. Among other things, the final rental cost can depend on the rental duration, vehicle category, collection and return location and any extra services selected by the customer.
After the price is calculated, the customer moves on to the reservation details. The booking engine collects the information needed to complete the booking, such as the customer’s name, email address, phone number, driver’s age, billing details, driving licence and, in some cases, passport information. Depending on the company’s policy, the customer can then pay in full online, reserve the vehicle and pay later, or provide card details so the rental company can pre-authorise a security deposit.
Car rental companies are not the only businesses that use booking engines. The same idea applies to hotels, airlines, restaurants, tour companies and other businesses where customers need to check availability and book online.
